Position Description

Reporting to the Director of Operations, the Office Manager is responsible for assisting in the daily operations of PERC in a role that is best described as a valued concierge to PERC’s staff, fellows, tenants, vendors, and visitors. This role requires a proactive, detail-oriented, and versatile individual who can manage administrative tasks while also planning and executing a comprehensive fellowship program.

The successful candidate will be service-oriented, a self-starter, and show initiative to identify and take ownership of needs in support of PERC’s operations. This position requires a team player who is willing to pitch in outside of the confines of their job description. This is a non-remote 30 – 40 hours per week position. This is a non-supervisory role with no direct reports. The work schedule for this position is Monday through Thursday, 8:30 am – 5:00 pm, and Friday, 8:30 am – 4:00 p,m with some flexibility.

Key Responsibilities

Office Management and Administration
  • Manage front desk operations, vendor relationships, facility upkeep, and supplies
  • Organize schedules, meetings, digital and physical files, and general office logistics
  • Track and reconcile office expenses; assist with invoice processing and basic bookkeeping
  • Development support (process donation deposits, monthly reconciliation, etc.)
  • Provide direct support to the Director of Operations and other leadership staff
Program and Event Support
  • Coordinate logistics for visiting fellows, including onboarding, workspace setup, and hospitality
  • Assist with events and conferences, handling space prep, catering, and setup and takedown
Human Resources (HR) and Onboarding Support
  • Support recruitment, onboarding, and new hire orientation
  • Manage employee benefits programs (health insurance, retirement plans, etc.)
  • Help train staff on HR systems and maintain compliance documentation
  • Assist in processing payroll, including tracking time and attendance
  • Provide guidance to employees on benefits enrollment or changes
  • Maintain HR and safety compliance standards
Employee Engagement and Culture
  • Coordinate internal communications, team-building events, and wellness initiatives
  • Assist in fostering a positive workplace culture

Required Qualifications
  • Must be service-oriented and possess a desire to provide a concierge approach to supporting PERC’s mission
  • Strong interpersonal and communication skills, with the ability to work collaboratively with diverse groups of people
  • Ability to multitask and prioritize responsibilities in a fast-paced environment
  • Ability to work both independently as well as closely with PERC’s team in a productive and positive manner
  • Attention to detail and a proactive approach to problem solving
  • Must work daily at PERC’s main office located in Bozeman, Montana
Preferred Qualifications
  • Experience with facility management
Working Conditions
  • Business office environment with moderate noise
  • Will sit or stand at a desk
  • Work on a computer, use a telephone, and other general office equipment
  • Lift and carry up to 25 pounds

This is a full- or part-time (30 hrs) position based in Bozeman, Montana.
