About the Position

Reporting to the Vice President of Operations, the Database Administrator is responsible for maintaining and updating PERC’s database of contacts, organizations, and related information. In addition, he or she is responsible for assisting in the digital component of PERC’s needs including designing and formatting donor reports, powerpoints, digital newsletters, and webpage content.

A successful candidate will be service-oriented, a good listener, detail-focused, and show an initiative to both identify and take ownership of needs in support of PERC’s database operations. 

This is a 40-hour per week exempt position and a non-supervisory role with no direct reports. The work schedule allows for flexibility for school pickups and the like.

Qualifications
  • Minimum of two years of experience in database administration (including employment and internships)
  • Advanced – proficient in G-Suite including Google Docs, Google Forms, Google Calendars, Google Slides or Powerpoint, and G-Mail
  • Proficient in Salesforce usage; need not be a Salesforce administrator or manager and need not be knowledgeable in backend Salesforce usage
  • Preferred:
    • Familiar with WordPress or other website content management systems 
      • Uploading website content; no web development is necessary
    • Familiar with Mailchimp or other email marketing service platform
    • Basic understanding of a video conferencing platform such as Zoom or Google Meets
Responsibilities

Database Usage in Salesforce (Junior Level)

  • Data Maintenance
    • Input and update contacts and related data
      • Clean up and maintain current contacts 
      • Ensure other staff input is done correctly
      • Clean up conflicting and missing address fields
    • Upload lists and update data en mass
    • Help design and run reports 
      • Daily/weekly requests for mailings, workshops, campaigns, and other information
    • Log actions and calls
    • Campaigns
      • Create and link to appropriate parent/child structure of campaigns, and add contacts
  • Work with our Salesforce consultant once a quarter to facilitate an audit of the functionality of our Salesforce, ensure quality control, and address any advanced tools we would like to add to the system
    • Work to implement changes to the system setup/updates, etc.
    • Be the “Go-To” for understanding where Salesforce is working well and where it can be improved
    • Add/remove users
    • Not responsible for administration of the platform architecture or building new objects

Conference, Events, and Fellowship Support

  • Overall gathering data and placing it into a usable form
    • Assist with contract distribution and collection via Docusign
    • Assist with conference and event follow-up emails
    • Assist Marketing and Media Manager and other staff in tasks related to the digital components of PERC (e.g., website)
    • Track participants over time and maintain contact information
      • Maintain LinkedIn alumni network
  • Support Zoom meetings and webinars
  • Create and maintain welcome campaign for new contacts and web opt-ins

IT Support

    • Responsible for the upkeep, configuration, and operation of networks, computers and servers, printers, and Jive VoIP phone system. This includes installing and managing desktop and laptop computers, servers, networks, IT security systems, and other critical components of an organization’s IT infrastructure.
    • Training will be provided for this aspect
  • Responsible for updating software licenses and managing equipment inventories
  • Establish a working relationship with our IT support company

  • Successful track record of being flexible with task priorities, adaptable within tasks, and managing time according to staff needs
  • Ability to multitask and assume diverse responsibilities in a fast-paced environment
    • Ability to work closely with and effectively communicate with a team in a productive and positive manner
    • A team player and willing to pitch in outside of the confines of their job description
